We love working closely with wedding venues and their teams to create beautifully styled celebrations while ensuring everything runs smoothly on the day. Below you’ll find helpful information about how we work and what venues can expect when collaborating with us.
Who is The Rustic Wedding Company?
We are a professional wedding styling and décor company with over 12 years of experience in the wedding industry, specialising in relaxed, elegant and thoughtfully styled weddings in the East Midlands.
Our work has been recognised with multiple national and regional awards at The Wedding Industry Awards (TWIA), and our Director, Lesley, is also a respected judge within the wedding industry awards, reflecting our commitment to excellence and best practice. You can read more about this here
We work both directly with couples and in close collaboration with venues to transform spaces while always respecting venue guidelines, operational requirements and the integrity of the setting.
Our aim is to enhance a venue’s natural character - never to overpower it.
What do you need from us?
To work efficiently, we may request:

Access times for setup and breakdown
-
Venue styling guidelines or restrictions - such as the candle policy.

Floor plans of the venue or capacity information
-
Power availability (if relevant)
-
Any access limitations (stairs, lifts, parking)
-
Where we are allowed to unload the van
We aim to keep questions minimal and respectful of your time.
What does set up & takedown look like?
Setup and breakdown times vary depending on the scale of styling, but we always:

Work within agreed access windows

Arrive prepared with all necessary equipment
-
Leave the venue exactly as we found it
We are mindful of turnaround times, particularly for venues hosting consecutive events. If you need us to take down at midnight, just let us know and we'll be there!
Are your items safe for venue use?
Yes. All our décor is selected with venue safety in mind. Where applicable:

Candles are used in appropriate holders or replaced with realistic LED alternatives according to your rules

Structures & arches are weighted and secured
-
Items are positioned to avoid trip hazards or fire risks
We are always happy to adapt styling to meet venue safety requirements and can provide you with a Risk Assessment for the wedding or event if you require us to do so.
Do you have Public Liability Insurance?
Absolutely! We believe it is super important to protect our clients, venue staff & any guests against injury or illness caused by anything relating to our business.
We are covered up to £5 Million.

What happens if something gets damaged?
We take great care when installing and removing décor. In the rare event of damage caused by our team, we take full responsibility and handle the matter professionally and promptly.
all members of staff have had relevant training to ensure they know how to install our decor & they will be aware of our damage policy.
Do you offer exclusive or recommended supplier partnerships?
Yes - we love building long-term relationships with venues. This may include:

Yes we do.
We style corporate events, brand launches and professional celebrations, bringing the same attention to detail, creativity and organisation that we’re known for in the wedding industry.
We work with businesses and venues to create stylish, cohesive event environments that reflect your brand, purpose and audience - whether that’s a refined tablescape, statement installations, seasonal styling or full event décor.
Our approach is always professional and collaborative. We work to clear briefs, respect venue guidelines and operational requirements, and ensure setup and breakdown are seamless and efficient.

Can we use images of your work?
We’re always happy for venues to use images featuring our styling, provided appropriate credit is given.
We also love being tagged on social media - it helps both of us showcase our work.
Most weddings that we style, we create a reel for instagram or Tiktok (with permission from the client). We will always tag any suppliers that are involved in the wedding so that they can share it to your social media too.
Who is our point of contact?
Once a booking is confirmed, we’ll provide clear contact details to the client. We also have our contact email address & phone number at the bottom of every page of our website should you need to contact us too.
Feel free to ask for Lesley - Director, or Gemma - Office Manager. Most weddings will be attended by either Lesley or Gemma + other staff - and sometimes we both attend!

We will also make every effort to stay to move our own arches & structures if a client has requested them to be moved from the ceremony to the Top Table so you don't need to worry.
